LOGEX Privacy Policy

This Privacy Policy sets out how LOGEX International Healthcare Analytics B.V. and its group companies use and protect any personal data of the visitors to its website, (prospective) customers, its (future) suppliers, and job applicants (“you“). Reference in this policy to “LOGEX”, “we” or “us” shall mean LOGEX International Healthcare Analytics B.V. and any of its group companies.

Below we explain what personal data we process as the data controller and how we ensure that your personal data is being collected and processed in accordance with applicable data protection laws including the General Data Protection Regulation (“GDPR”).

For purposes of this Privacy Policy, “personal data” means any information that relates to you and identifies you personally, either alone or in combination with other information available to us.

Data we collect when you contact us 

Via our website, you can contact us or ask us to contact you by filling out the form. Through this form, we collect all the information that you fill out, including your name, company, contact details (e.g. email address and phone number) and other information you decide to enter into the form. 

You can also contact us by calling us or e-mailing us using for example the contact details listed on our website. If you do so, we will collect your name, company and any other information we need to be of further assistance to you and/or communicate with you.

We use this data above to answer your questions, comments or complaints and respond to your queries. As such, this data is used by us to establish or perform our (future) contractual relationship with you and for our legitimate interests in following up with you. We also use the data above for our legitimate interest of conducting business with you and managing our internal administration, for establishing and performing our contract with you, for our legitimate interest of conducting marketing research so we can improve our products and services. 

Data we process when you are a customer or supplier

If you are one of our customers or suppliers, we may process limited personal data in the course of our business relation with you, including your contact information, address, and where applicable, payment details. We use this information to set up our products and services for you. In addition, we use your information for our legitimate interest of managing our internal administration and for complying with our legal obligations, such as taxation obligations.

If you use the customer portal, we collect the information you have filled out on the registration form or provided us with, including your name, company, e-mail address, phone number, job title and user name and password. We also register relevant queries and the pages and products our customers view in the customer portal. We process this data to be able to perform our contract(s) with you by following up with you and providing you with support and for our legitimate interest of being able to optimize and improve our products and services, including our customer portal.

We can also use your (company) e-mail address for keeping you up to date on our products and services and, if you have agreed to this, to send you our newsletters and provide you with other relevant information about our group and products. 

Data we process when you apply for a job 

When you apply for a job or traineeship via our website you will be asked to provide certain personal information such as your CV, diplomas and your marks. If you provide us with a link to your LinkedIn profile, we will also add the profile information to your application. You may be asked to provide further information in follow-up correspondence with us.

In some cases we process data about you from other sources, for example information from the references you provide. We also process information about how you go through the application process, such as the interview partners you receive and their impressions and evaluations of you.

For some vacancies, we use third parties, such as head hunters and recruitment companies, to find suitable candidates. In that case, these third parties share your information with us.

We process this data to assess your suitability for the relevant positions with us and therefore for our legitimate interests of being able to administer and manage our recruitment process and to make sure the right people end up in the right positions. 

Furthermore, we process your data to determine your employment terms, handle requests to reimburse your expenses and for internal control and security purposes..

Other purposes

If necessary, we can also process any of your information above for our legitimate interest of protecting our legal rights, for example in connection with legal claims, and when we have a legal obligation to process your information. We may also transfer your data in the event of a company reorganization, merger, or sale.

We keep your data for as long as we reasonably need it for the purposes listed above. After that time your personal data will be erased (unless we have the statutory right or obligation to further keep this data).

For example, if you are a customer or supplier of LOGEX, we will keep your information for the duration of the contractual relationship you or your company has with us and after the end of that relationship for as long as necessary to perform the purposes set out above or to comply with legal obligations. 

When you apply for a job or traineeship, we will keep your data for the duration of the application process.  If your application is successful and you have been hired, we will transfer the data we have gathered during the application phase to your personnel file, for the purpose of administration of your employment. We will keep and use this data in accordance with our Employee Privacy Policy (a copy of which will be given to you when you start your job with us).. 

If your application has been rejected, the data will be retained for a period of four weeks after our decision and then deleted, unless you give us permission to use your personal data to inform you of any suitable vacancy or position in the near future. In that case, we will retain your data for one year.

If necessary, to perform a service you request from us or to follow-up on your enquiries, we may share your personal information with third-party service providers. Such third parties include, but are not limited to, providers of website hosting, maintenance and identity checking services and SaaS providers. Third-party service providers will process your information on our behalf for the purposes above.  When we share your data with these parties, we will make always sure that appropriate safeguards are implemented to protect your information.

We may also share personal data with government authorities and/or law enforcement officials if required for the purposes above, if mandated by law or if required for the legal protection of our legitimate interests in compliance with applicable laws. 

In the event that the business is sold or integrated with another business, your details will be disclosed to our advisers and any prospective purchaser’s adviser and will be passed to the new owners of the business. 

We are committed to ensuring that your personal data is secure. In order to prevent unauthorized people or parties from being able to access your data, we have put in place a range of technical and organizational measures to safeguard and secure the information we process from you.

You are entitled to ask us for an overview of your information or ask for a copy. You may also ask us to correct or erase certain personal data, restrict its processing, or ask us to transfer some of this information to other organisations. In some cases, you may also object to the processing of your data and, where we have asked for your consent to process your data, you can withdraw this consent at any time. 

These rights may be limited in some situations. For example, where we can demonstrate that we have a legal requirement to process your data. In some instances, this may mean that we are able to retain data even if you withdraw your consent. 

Where we require personal data to comply with legal or contractual obligations, then provision of such data is mandatory: if such data is not provided, then we will not be able to manage our contractual relationship, or to meet obligations placed on us. In all other cases, provision of requested personal data is optional.
